About the Role

Are you highly organized, detail-oriented, and passionate about laboratory medicine and patient care? Rhinebeck Equine is seeking a dedicated Laboratory Assistant to support our veterinary hospital’s diagnostic and laboratory operations.

This role is essential to maintaining efficient laboratory workflow, ensuring accurate diagnostic processing, supporting veterinarians and technicians, and coordinating communication with outside laboratories. The ideal candidate thrives in a fast-paced clinical environment, demonstrates strong attention to detail, and is committed to maintaining high standards of quality and patient care.

Key Responsibilities

  • Receive, label, process, and analyze laboratory samples including blood, fecal, and other diagnostic specimens

  • Ensure laboratory results are accurately recorded in patients’ medical records within HVMS

  • Set up, monitor, and read cultures

  • Prepare samples, forms, and photographs for shipment to outside laboratories, including Coggins testing documentation

  • Generate Coggins tests, health certificates, and vaccine certificates

  • Email completed Coggins and health certificates as directed

  • Ensure all laboratory testing and services are billed accurately

  • Oversee incoming bloodwork dropped off by clients and all outgoing laboratory submissions

  • Receive laboratory results, attach them to patient histories, and forward results to doctors promptly

  • Serve as the primary point of contact for outside laboratories regarding special requests, corrections, or changes

  • Ensure all laboratory work is processed properly and sent to the appropriate reference laboratories

  • Perform quality control testing and maintain accurate records of all laboratory activities

  • Assist with testing, calibrating, and maintaining laboratory equipment

  • Organize and safely store laboratory chemicals, fluids, and supplies according to safety protocols

  • Maintain cleanliness and organization throughout laboratory areas while ensuring strict adherence to safety guidelines

  • Monitor laboratory inventory and assist with ordering laboratory supplies

  • Perform physical inventory checks of laboratory supplies at minimum on Mondays and Thursdays

  • Document needed supplies on in-progress HVMS requisitions and follow up with the Pharmacy Manager regarding delayed orders

  • Coordinate FedEx pickups for outgoing laboratory shipments at the end of the day

  • Replicate and maintain tablets for Barn 1, Barn 2, Barn 3, the laboratory, and launching room three times weekly

  • Complete final daily walk-through of the front office area at 5:00 PM

  • Communicate effectively with veterinarians, technicians, client services, and outside laboratories to support efficient hospital operations

Preferred Qualifications

  • Previous experience in a veterinary laboratory, equine hospital, or clinical setting preferred

  • Knowledge of equine terminology strongly preferred

  • Experience handling and processing laboratory samples

  • Strong organizational skills and attention to detail

  • Ability to multitask and prioritize responsibilities in a fast-paced environment

  • Excellent communication and interpersonal skills

  • Strong computer proficiency and experience with electronic medical records systems

  • Ability to maintain professionalism and accuracy under pressure

  • Familiarity with HVMS or similar veterinary practice management systems preferred
